Customizing Your Portal

Note: Only admins can access these customization options

There are several visual and text options for customizing your portal. These should be set before your portal goes live but they can be updated at any later point. Click on a link in the list to jump to that section:

 

How to change the logo on the front page

Your organization's logo will be displayed on your NextRequest site's landing page. We recommend using a high resolution image that is roughly square with a transparent background.

 

Steps for changing the logo on the front page

  1. Sign in to your account
  2. Click the ADMIN link in the header
  3. Click the Portal Settings link in the sub-header
  4. Click logo and background image on the right side panel
  5. Click the Choose File button under Your organization's logo
  6. Select a file and click Upload (.png, .jpg, .bmp, or .gif file type, 150x150px with a transparent background)
  7. Scroll to the bottom of the screen and click SAVE

 

 

How to change the background image on the front page

The background image should be one that represents your community, such as the local skyline. We recommend using high resolution image of around 1200x600 pixels. If you have access to Photoshop you can optimize the image for the internet by opening it in Photoshop and using File > Export > Save for Web. This will help the image load faster when somebody visits the front page.

 

Steps for changing the background image on the front page

  1. Sign in to your account
  2. Click the ADMIN link in the header
  3. Click the Portal Settings link in the sub-header
  4. Click "Logo and Background Image" on the right side panel
  5. Click the Choose File button under Front page background image (.png, .jpg, .bmp, or .gif file type, size 1200x600px)
  6. Select a file to upload and click Upload
  7. Scroll to the bottom of the screen and click SAVE

 

 

 

How to change the text on the front page

The text on the front page of your portal can be customized to be specific to your agency and requesters. Content to consider adding includes:

  • Directing the user to first check the Documents Index and Request Index to see if the information they’re looking for is already available
  • The date on which requests and responsive documents started to be posted on the portal
  • Agency procedures for processing requests (or a link to where the procedures can be viewed)
  • The cost to the requester of fulfilling the request

 

Steps for changing the text on the front page

  1. Sign in to your account
  2. Click the ADMIN link in the header
  3. Click the Portal Settings link in the sub-header
  4. Click "Front Page Text" on the right side panel
  5. Enter your preferred header text (up to 40 characters). The header will appear larger and in bold above the rest of the front page text.
  6. Enter your preferred “Text for front page” (short paragraph explaining the purpose of the portal - up to 750 characters).
  7. Edit your text with formatting options above the text box (optional).
  8. Scroll to the bottom of the page and click SAVE

 

 

How to change the text in the Make Request page sidebar

The text on the right-hand side of the Make Request page can be customized to provide guidance to your requesters about the most effective way to make a request. Content to consider adding includes:

  • Directing the user to first check the Documents Index and Request Index to see if the information they’re looking for is already available
  • Links to popular documents
  • Links to the correct place for commonly misdirected requests
  • Circumstances under which documents are not made public
  • Information that the requester should include for the request to be processed most efficiently
  • Information that will be redacted from requests (social security numbers, dates of birth, etc)
  • Whether the requester’s name will be displayed publicly
  • The cost to the requester of fulfilling the request

 

Steps for changing the text on the make a request page sidebar

  1. Sign in to your account
  2. Click the ADMIN link in the header
  3. Click the Portal Settings link in the sub-header
  4. Click "New Request Form" on the right side panel
  5. Enter preferred text under “Text for the request form sidebar” (a few sentences with helpful tips - up to 4,600 characters).
  6. Edit your text with formatting options above the text box (optional).
  7. Scroll to the bottom of the page and click SAVE

 

How to change the text at the top of the Make Request page

We've given you (admins) the ability to edit the text at the top of the Make Request page that says "Documents, photos, emails, texts, videos, data and other records" by default. There is a maximum of 300 characters of text, but if you want to get creative in how you tell requesters what kind of things they can request, you can now do so!

Steps for changing the text at the top of the Make Request page

  1. Sign in to your account
  2. Click the ADMIN link in the header
  3. Click the Portal Settings link in the sub-header
  4. Click "New Request Form" on the right side panel
  5. Enter preferred text under “Subheader for Request form” (300 characters max).
  6. Click SAVE.

How to change the text at the top of the All Requests page

We've given you (admins) the ability to get creative with the subheader on the All Requests page as well! By default, it will say "If you need [Agency Name]'s Records that may have been previously released, please search past requests. You may find what you need!" but if you'd like to change it (or even delete it) you can.

Steps for changing the text at the top of the All Requests page

  1. Sign in to your account
  2. Click the ADMIN link in the header
  3. Click the Portal Settings link in the sub-header
  4. Click "All Requests page" on the right side panel
  5. Enter preferred text under “Subheader” (300 characters max).
  6. Click SAVE.
